What n8n is, in plain words

n8n is a source-available automation builder under a fair-code licence. You assemble chains in it: event, processing, action. An enquiry arrives — parse the answers, write a row, notify the manager, put the meeting in the calendar. Every step is visible as a diagram rather than buried in code you cannot read.

The key difference from Zapier and Make: n8n installs on your own server. The data never reaches a middleman, and the bill does not grow with the number of operations.

A form or a quiz posts answers into n8n: it parses them, scores priority, writes a row and notifies the manager. The lead survives even if there is no CRM yet.

Moving data between systems

Messenger to spreadsheet to CRM to report. Exactly the work a person currently does by copy-pasting between tabs.

Reports without a human

Collect from several sources, merge, post to a chat on schedule. The same report, except nobody assembles it by hand on Monday morning.

Telegram and WhatsApp bots

A bot on your logic: it answers the routine, collects the details, and hands over to a person where a person is genuinely needed.

Email and documents

Pull the required fields out of an email or a PDF, check them for completeness, and put them where they are expected.

Why n8n rather than Zapier or Make

The data stays with you

n8n runs on your server. Keys, database and correspondence never travel to a middleman — that is a separate clause in the contract.

The price does not scale with volume

Cloud builders bill per operation: the harder your automation works, the more it costs. On your own server you pay for the server.

No ceiling on complexity

Where a ready-made step is not enough, a code node goes in. You never have to abandon the tool halfway and rewrite everything.

Enquiries from this website go through exactly this kind of chain. The quiz posts answers to a webhook, the receiver parses them, scores priority and manual hours, writes a row — and only then answers the site. That is why the confirmation on screen means the enquiry really was saved, not that a request vanished somewhere. To be straight: at first the chain ran as a workflow on n8n Cloud, and since 24 August 2026 it has run as a Google Apps Script. We chose not to pay for the cloud or maintain our own server for the sake of one form. Take the quiz below: you will see exactly what your own client sees.

What happens after the button is pressed

  1. 01 Webhook Receives the quiz answers. Its own address, its own entrance.
  2. 02 Parsing Sorts the answers into fields. By option codes, not labels: a Russian and an English lead land on the same shelf.
  3. 03 Scoring Computes priority and manual hours per month — urgency, volume, team size, type of task.
  4. 04 Write A row in the table. The answer goes back to the site only after that — which is why the confirmation means it was saved.

What is included

n8n itself is free on your own server for your company's internal use — the source is open under a fair-code licence, and you only pay for the server. The vendors also sell a cloud subscription, which you most likely do not need.

Common questions

How is n8n different from Zapier and Make?
It can be installed on your own server: the data stays with you and the bill does not depend on the number of operations. Otherwise it is the same chain builder — except there is no ceiling on complexity, because any step can be extended with code.
How much does n8n itself cost?
On your own server, nothing: the source is open, and the fair-code licence lets a company use n8n internally for free. You only pay for the server. The vendors do sell a cloud subscription, but if the data matters, self-hosting is the better call.
What if you disappear and everything breaks?
Code and access are handed over at the end of the pilot, and every workflow is documented step by step. Testing us is easy: ask for the handover in week two rather than at the end. A contractor who stalls on that has answered your question.
What if the task does not need development at all?
We will say so plainly. If an off-the-shelf integration closes the process in two days, there is no reason to pay us to build it. And we do not take on work where success cannot be counted — it is fairer to part ways before starting.
